The Southeast Asia-Pacific Audiovisual Archive Association (SEAPAVAA) seeks nominations for the 2019 SEAPAVAA Fellowship Award and the SEAPAVAA Best Archival Project in the Region Award.
2019 SEAPAVAA AWARDS
CALL FOR NOMINATIONS
One of the key missions of the Southeast Asia-Pacific Audiovisual Archive Association (SEAPAVAA) is to advocate the advancement of the professional development and recognition of audiovisual archivists who safeguard the rich audiovisual heritage of the region.
Two major award categories comprise the SEAPAVAA Awards namely: SEAPAVAA Fellowship Award and SEAPAVAA Best Archival Project in the Region Award.
THE AWARD CATEGORIES
1.) SEAPAVAA FELLOWSHIP AWARD
The SEAPAVAA Fellowship Award is a special recognition given to honor an individual’s lifetime achievement in the field of audiovisual archiving and/or whose exceptional service to SEAPAVAA has contributed to the development of audiovisual archiving in the Southeast Asia-Pacific region.
Responsibilities of the Fellows:
- Participate as part of the Fellowship Selection Committee.
- Newly conferred fellows are required to present a master lecture during the conference in the year immediate following their conferment.
- Participate in other projects/programmes that the SEAPAVAA Fellows Circle aims to pursue.

Eligibility:
- Any SEAPAVAA members who have shown exceptional service and significant contribution to audiovisual archiving in the Southeast Asia-Pacific region. Current officers of the SEAPAVAA Executive Council are disqualified from nomination.
- SEAPAVAA members who are not nationals or residents of the region can be nominated.
- The SEAPAVAA Fellowship Award may be given posthumously.
Awards:
The awardee/s will receive a trophy plaque and also a waiver of registration fees of the annual SEAPAVAA conferences.
2.) SEAPAVAA BEST ARCHIVAL PROJECT IN THE REGION AWARD
The SEAPAVAA Best Archival Project in the Region Award strives to recognize projects that have inspired archival design thought and exhibit technical and spatial innovations.
Eligibility:
Any recent project or initiative from the Southeast Asia Pacific region which has shown exceptional innovation and significant contribution in audiovisual archiving are eligible. Projects started anytime from 2013 until present whether on-going or completed may be nominated for the award. An example of a project that fits the criteria is the use of tea leaves as an alternative for the preservation of Cellulose Triacetate Film (Bell, J., Newnham, M. & Nel, P., 2017).
Awards:
Only one entry will be chosen as Grand Prize winner for the Best Archival Project in the Region Award. The winner will receive a Certificate of Recognition and USD 1,000 (cash prize sponsored by AV Preservation by reto.ch). Exceptional runners-up or honorable mentions will only be given a Certificate of Merit.
NOMINATIONS AND SUBMISSIONS
Procedures:
- Only SEAPAVAA members in good standing can nominate a candidate or a project.
- The nomination forms of the 2019 SEAPAVAA Fellowship Award and SEAPAVAA Best Archival Project in the Region Award may be downloaded from the 2019 SEAPAVAA Conference website [http://seapavaaconference.com].
- The nomination form in PDF file must be filled out electronically! Completely and accurately. SEAPAVAA shall not be held liable for the mistakes or misrepresentations indicated by the nominator.
- SEAPAVAA Fellowship Award nomination forms and other requirements (e.g. curriculum vitae/resume or written information/article relevant to the candidate’s nomination) must be submitted to the SEAPAVAA Secretariat via e-mail at [admin@seapavaa.net] or at [secretariat@seapavaa.net].
- SEAPAVAA Best Archival Project in the Region Award nomination forms and other requirements (e.g. photo documentations) must be submitted to the SEAPAVAA Secretariat via e-mail at [admin@seapavaa.net] or at [secretariat@seapavaa.net].
- The deadline for submission is on or before April 30, 2019. The secretariat will not be held responsible for nominations received after the deadline thereby resulting in the exclusion from the program.
PROCESS OF SELECTION
- All nominations for both the SEAPAVAA Fellowship Award and the SEAPAVAA Best Archival Project in the Region Award will be received and processed by the SEAPAVAA Secretariat. Afterwards, the nominations will be forwarded to the Executive Council to review the list of nominees and projects for the consideration of the Selection Committee.
- The SEAPAVAA Fellows Circle composed of previously conferred Fellows will serve as the Selection Committee.
- The Executive Council shall appoint (5) Fellows to represent the Selection Committee. The Executive Council shall also appoint the Chair among the Selection Committee. The appointed Chair will then lead the deliberation.
- All nominees for the SEAPAVAA Best Archival Project in the Region Award will be judged based on the following criteria:
- INNOVATIVE (25%) Introduces new methods and technique.
- INSPIRING (25%) Encourages archival solution and design.
- INFLUENTIAL (25%) Serves as a model for other projects to follow.
- EFFECTIVE (25%) Practical and works efficiently.
- The Selection Committee shall submit the list of chosen awardees to the Executive Council 30 days after they have received the nomination packages.
- The Selection Committee can confer no more than three Fellows for the SEAPAVAA Fellowship Award.
- Winners chosen upon by the Selection Committee is deemed final and conclusive, and cannot be questioned, challenged or appealed against on any ground.
- Only the honouree(s) and those who sent their nominee(s) or project(s) are the ones who will get notifications on the result of the final deliberation made by the Selection Committee.
- Honourees will be publicly announced and posted on the SEAPAVAA websites.
- Awarding will be held during the conference, and winners are encouraged to attend and receive the awards. Unfortunately, SEAPAVAA cannot give grants or free airfare and accommodation to those winners receiving the awards. Awardee(s) need to take care of their own travel expenses (airfare, accommodation, etc.) if they wish to receive the awards in person, or they may appoint a representative(s) who are confirmed to attend SEAPAVAA’s annual conference to receive the awards in their behalf.
FINAL ARRANGEMENTS
- The submission of nominee and application form implies acceptance of the current regulations.
- The Executive Council have full autonomy to decide not to confer any awards annually for valid reasons.
- The Executive Council will decide all matters not expressly provided for in these regulations and their decision shall be final.
